THE POSITION:
Reporting to the Head of Global Sales, this role will enable you to grow sales by providing administrative support and taking ownership of important elements of the planning process for the sales teams.
The Sales and Operations Coordinator role will also work closely with the operations team to support a smooth end to end sales process for our Wholesale clients to help maximise revenue for the business.
KEY ROLES AND RESPONSIBILITIES:
The role will be split in two supporting two teams.
Sales team support (50%):
- Administrative Support: Managing an online sales tool (Joor), ensuring data accuracy and integration with financial systems, and coordinating with various departments.
- Sales Meeting Support: Preparing reports and coordinating logistics for sales meetings.
- Platform Maintenance: Keeping content-sharing platforms updated with seasonal changes.
- Customer Administration: Creating and managing customer forms, verifying details, and following up on information.
- Sales Support: Managing sales schedules, booking travel, and organising meetings. Attending sales appointments to support the sales manager during selling campaigns.
- Showroom Coordination: Arranging activities in external showrooms (e.g., Paris, Milan, Pitti) for the international team.
- Weekly Tracking: Updating a weekly key account tracker for internal and external stakeholders.
- Account Liaison: Assisting with account issues in collaboration with Wholesale Operations and Accounts Receivable.
- Fashion Week Attendance: Travelling to events like Paris Fashion Week and Pitti.
- Sales Reporting: Compiling sales reports for consignment billing and accounts.
- Showroom Management: Overseeing the UK showroom's visual merchandising and back-of-house logistics.
- Team Collaboration: Supporting other wholesale and third-party sales team members as needed.
Operations team support (50%):
- Order Book Monitoring: Ensuring that wholesale orders are shipped on time, meeting specific deadlines and cancellation dates.
- Documentation: Preparing return authorization (RA) credits and other necessary documents for shipping, returns, etc.
- Shipping Coordination: Sending orders for packing and shipping, coordinating with clients on preferred shipping dates and details.
- Payment Collection Support: Assisting the finance team in collecting payments for proforma accounts.
CANDIDATE PROFILE:
- Organisational Skills: Strong at arranging events, managing schedules, and balancing multiple priorities.
- Attention to Detail: Skilled at handling large amounts of data.
- Technical Skills: Comfortable with using and switching between different IT systems.
- Customer Service: Excellent customer-focused approach.
- Travel Requirements: Travel to Paris (7-8 days twice a year), Milan (up to 5 days twice a year), and Florence (up to 5 days twice a year) for selling seasons.
- In-Office Expectations: Generally, in the office 3 days a week (60% of the time), increasing to 5 days a week (40% of the time) during selling campaigns. During selling campaign hours could be longer then 9-5 if clients are late/travelling from abroad.
- Adaptability: Flexible, pragmatic, and able to communicate with a wide range of stakeholders.
- Wholesale Sales Experience: Beneficial but, not essential.
Language Skills: Any additional languages are useful; French and Spanish are a plus.
